Manual for integration of Gmail in Microsoft Outlook 2007

To integrate Gmail in Outlook 2007 a number of actions are required. In this blog I describe in a number of steps how you can execute these actions with ease.

Customize settings in Gmail for Microsoft Outlook 2007

Execute the following steps in Gmail to make the link up with Outlook 2007 possible:

  • Open your current e-mail account in Gmail. Click in the upper right on settings for Gmail (the little cog).
  • Now you will see several tabs. Go to the tab ‘Forwarding and POP/IMAP’.
  • Here you check the option ‘Enable POP for all messages’.
  • At the bottom of the page you choose ‘Save settings’.

These are the only actions that you have to do in this e-mail account to integrate Gmail in your Outlook.

Subsequently you should carry out these steps in Microsoft Outlook to include the mail in Gmail in Outlook:

  • Open Outlook.
  • Choose at the top of the screen for Extra.
  • Click on Accounts. Now a screen will appear called ‘Internet accounts’. From this screen you will enter all data to complete the integration.
  • Click on Add.
  • Here you need to select the account type: here you will choose for E-mail account.
  • Now Outlook will ask for various pieces of information. I will present them below step by step. Obviously you fill in your personal data here.
  • Display name: this name will be displayed in the mail traffic that you will be having. I suggest you fill in your first and last name here.
  • Click on Next.
  • Internet e-mail address, E-mail address: this is the e-mail address of your Gmail account for example example@gmail.com
  • Click on Next.
  • Setting up the E-mail servers:
  • POP3: can remain as is.
  • Server for incoming e-mail ( POP3 or IMAP) = pop.gmail.com
  • Name of server for outgoing e-mail (SMTP) = smtp.gmail.com
  • Click on Next.
  • E-mail user name: this is the email address of your Gmail account. Be careful: the data before the @ is probably already displayed, but put @gmail.com behind this, otherwise this will not work.
  • Enter password.
  • Click on Next.
  • Click on Finish. Now it looks as if you are finished, but there are still a few steps needed to complete the integration.

Customize properties

In the end you will modify a few more things in the account in Outlook 2007:

  • Go, just like in step 2, to Extra again.
  • Click on Accounts.
  • Click on the pop.gmail.com you have just created and choose on the right for Properties.
  • Now the screen will appear that says: ‘Properties of pop.gmail.com’.
  • You will then enter the screen E-mail account.
  • Click above on the second tab: Servers.
  • Now all Server data will appear.
  • All the way at the bottom of this screen at Server for Outgoing mail, you need to check ‘This server requires authentication’.
  • Now you are finished in this tab.
  • Go to the final tab: Advanced.
  • Port numbers of the Server, Outgoing e-mail:
  • Check ‘This server requires a secure connection (SSL)’.
  • The number here does not change automatically, to be able to integrate Gmail here you need to enter the number 465.
  • Incoming e-mail:
  • Check ‘This server requires a secure connection (SSL)’.
  • The number here will automatically change from 110 to 995, you can leave that there.
  • Now you are finished with entering the data in this screen and the related tabs.
  • To finish up click on Apply and then on OK.
  • Now you can close the Internet account screen.

If you have walked through all the steps properly then Outlook 2007 will immediately start to download your e-mail messages from Gmail. If this should not happen automatically, click on ‘Send and Receive’ at the top of your screen.
